Peripass is a logistics SaaS scale-up with its headquarters in Ghent (Belgium). Our Yard Management Platform enables manufacturing and logistics companies to smoothly manage the complete flow of trailers rolling on and off their sites, as well as all trailer movements on-site. Building on an already strong revenue basis, we have recently grown to about 40 people and we are planning to grow to over 60 people in 2023. We are proud to have won the Audience Prize at the Supply Chain Awards 2022 and have been awarded “Trends Digital Pioneer” in the category Manufacturing & Logistics.


We are looking for a smart, hungry, and highly organized person to join our team as the Executive Assistant to our CEO (and founder). With multiple things grabbing our CEO's attention, we are in need of a talented centipede to help unblock our CEO from the day-to-day to focus on the high-impact actions that move the needle. You'll execute day-to-day activities, administrative tasks, and special projects for the CEO and the leadership team, key stakeholders, and by proxy the broader team where needed.


This position touches every corner of the CEO’s life and business. It’s a key role, and we need someone who has the ability to ramp up quickly when it comes to new information and learning new things. Therefore, we’re looking for someone with
a vast business understanding as an assistant to the CEO and someone who truly believes in the value of this role as their calling.


As our Executive Assistant to the CEO, you are responsible for:

  • Calendar Management: Proactively manage the CEO's calendar, schedule meetings, and coordinate appointments, ensuring optimal time allocation and prioritization.
  • Travel Arrangements: Plan and coordinate travel arrangements, including flights, accommodations, ground transportation, and other logistics, considering the CEO's preferences and business requirements.
  • Communication and Correspondence: Handle incoming and outgoing communications, including emails, phone calls, and written correspondence on behalf of the CEO. Draft and prepare documents, presentations, and reports as needed.
  • Event Coordination: Prepare meeting agendas, materials, and presentations for events, off-sites/on-sites, all hands, & customer visits. Attend (leadership) meetings, take accurate minutes, and follow up on action items to ensure timely completion.
  • Relationship Management: Maintain positive relationships with internal and external stakeholders, including clients, partners, board members, and employees. Facilitate effective communication and act as a liaison between the CEO and various stakeholders.
  • Information Management: Organize and maintain confidential information, documents, and records. Implement effective document management systems and ensure easy access to relevant information.
  • Sales Support. Update Sales Materials on a quarterly basis. Provide sales insights by pulling reports from CRM. Act as the Chief of Staff for Sales & Marketing.
  • Special Projects: Support the CEO in special projects, strategic initiatives, and ad-hoc assignments. Conduct research, compile data, and provide insights to aid decision-making

Come on, blow us away with your credentials! You will, if you have:
  • 3+ years of experience supporting providing direct support to C-level executives in a fast-growing environment. Highly preferred to have had prior experience directly supporting a CEO in a SaaS environment.
  • A commercial background and an understanding of Sales processes.
  • Excellent organizational and time management skills with the ability to prioritize and multitask effectively.
  • You are farsighted and resolve operational and administrative issues before they arise.
  • Demonstrated experience interfacing & supporting at Management and Board level.
  • Excellent written and verbal communication skills, in both English and Dutch. You are also professionally proficient in French.
  • You're an Excel wizard and are not afraid of maintaining some VBA.
  • Proficiency in other productivity tools such as CRM, Microsoft Office (Word, PowerPoint), email, and calendar applications.
  • An eye for neat layouts.
  • Strong sense of ownership and accountability for tasks and projects.
  • Flexibility to adapt to changing priorities and work effectively under pressure.
  • Excellent problem-solving and decision-making abilities.
  • Ability to handle sensitive and confidential information with the utmost discretion.
  • Strong attention to detail and accuracy in all aspects of work.
  • Strong interpersonal skills and the ability to build relationships at all levels throughout the organization.
